Terms & Conditions for Receiptly: Receipt Tracker

1. Introduction and Acceptance

These Terms & Conditions ("Terms") govern your access to and use of the Receiptly mobile application (the "App"), operated by Code Xcess ("we," "us," or "our").

By creating an account, accessing, or using the App, you agree to be bound by these Terms and by our Privacy Policy, which is incorporated into these Terms by reference. If you do not agree, do not use the App.

You must explicitly accept these Terms before accessing the main features of the App. If you are using the App on behalf of a business, you represent that you have the authority to bind that business to these Terms.


2. Eligibility

  • You must be at least 13 years of age (or the applicable minimum age of digital consent in your jurisdiction) to use the App.
  • You must provide accurate and complete information when creating an account.
  • You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account.

3. Description of Service

Receiptly is a receipt-tracking and expense-management application that allows you to:

  • Capture, upload, and store receipt images and PDFs
  • Extract receipt data automatically using AI-powered scanning (Gemini AI) or on-device OCR (Google ML Kit)
  • View, edit, categorize, and organize your receipts
  • Track expenses and income through dashboards and summaries
  • Export receipt data (Pro and Premium plans)
  • Create or join Groups: shared receipt spaces for couples, families, or businesses (see §6)

We may add, modify, or discontinue features at our discretion, with reasonable notice for material changes.


4. Subscription Plans and Billing

4.1 Available Plans

Current pricing for paid plans is displayed in the App and may be updated from time to time; any price change will not affect an active billing cycle you have already paid for.

4.2 Billing and Payment Processing

  • All payments are processed through Google Play Billing (Android) or the Apple App Store (iOS). We do not collect or store your payment card details.
  • Subscriptions automatically renew at the end of each billing period (monthly or annual, as selected) unless cancelled before the renewal date.
  • Billing, renewal, and cancellation are managed through your Google Play or Apple App Store account settings, subject to their respective terms.

4.3 Refunds

Refunds are subject to the refund policies of Google Play or the Apple App Store, as applicable. We do not directly process refunds; please contact Google Play Support or Apple Support to request one.

4.4 Changes and Cancellations

  • You may upgrade, downgrade, or cancel your subscription at any time through your platform's subscription management settings.
  • If you downgrade to a plan that does not support Group ownership while you own one or more active Groups, you must first transfer ownership of each Group to another eligible member or delete the Group(s). The App will block the downgrade until this is resolved.
  • If your subscription expires or is not renewed, your account is treated according to the data retention rules in §7 below.

5. AI Scanning and OCR

  • Receiptly uses Google Gemini AI (via Firebase AI Logic) and Google ML Kit OCR to extract data from receipts you upload.
  • AI-extracted data (merchant, date, price, category, etc.) is provided for your convenience and may contain errors. You are responsible for reviewing and correcting any extracted information before relying on it.
  • Each subscription plan includes a monthly allowance of AI scans (see §4.1). Once your allowance is used, the App automatically falls back to on-device OCR, which has no usage limit.
  • You may configure how AI scanning is used (always use AI, never use AI, or ask each time) in the App's settings.
  • We do not guarantee the accuracy, completeness, or fitness for any particular purpose of AI- or OCR-extracted data.

6. Groups (Shared Receipts)

6.1 What a Group Is

A Group is a shared receipt space that allows multiple users, for example, couples, families, or small businesses, to upload to and view one common set of receipts. Group ownership requires a Premium subscription; membership is open to users on any plan.

6.2 Creating, Inviting, and Joining

  • A Group owner may create up to 10 Groups and invite up to 100 members per Group.
  • Invitations are sent by email and contain a secure, time-limited (48-hour), single-use link. By inviting another person, you confirm you have a legitimate basis for sharing their email address with us for this purpose (see our Privacy Policy §3.2 and §5.5).
  • You may decline or ignore a Group invitation at any time. Accepting an invitation makes you a member of that Group, subject to these Terms.

6.3 Roles and Responsibilities

  • Groups have three roles: Owner, Admin, and Member, each with different permissions within the Group (e.g., managing members, allocating storage, deleting the Group).
  • The Owner is solely responsible for maintaining the Premium subscription that funds the Group's storage and AI-scan allocation. If the Owner's subscription lapses, the Group is locked and, if not restored within the applicable grace period, permanently deleted (see §7.3).
  • We are not responsible for disputes between Group members regarding shared receipt data, expense records, or Group management decisions.

6.4 Shared Data Within a Group

  • Receipts uploaded to a Group, and edits made to them, are visible to all members of that Group. They belong to the Group, not to the individual member who uploaded them; if a member leaves or is removed, receipts they uploaded remain in the Group.
  • Your personal (non-Group) receipts are never visible to other users, including other members of any Group you belong to.
  • You are responsible for the content and accuracy of any receipt you upload to a Group, and for ensuring you have the right to share that information with the other Group members.

6.5 Leaving or Being Removed

You may leave any Group at any time. A Group Owner or Admin may remove a Member. Removal does not delete receipts the removed member previously uploaded to the Group.


7. Data Storage and Retention

7.1 Storage Quotas

Each subscription plan includes a storage allowance for receipt images and PDFs (see §4.1). Premium owners may allocate a portion of their storage and AI-scan allowance to Groups they own; this allocation is enforced server-side and cannot be bypassed by the App's client.

7.2 Personal Account Retention

  • Free and active paid users: your receipts are retained for as long as your account remains active and within your plan's storage limit. There is no automatic deletion while you are within your storage limit.
  • Expired paid subscriptions exceeding the Free plan's 100 MB limit: receive a 6-month grace period, multiple notifications, and, if the subscription is not restored, automatic deletion of the oldest receipts until usage falls back under 100 MB. Full details are in our Privacy Policy.

7.3 Group Retention

If a Group Owner's Premium subscription is not active or is not restored within the applicable grace period following expiry, the entire Group, including all receipts uploaded by any member, is permanently deleted. This is because Groups have no equivalent allowance on non-Premium plans. Members are notified at multiple points before deletion occurs.

7.4 Account Deletion

You may delete your account at any time through the App's settings. If you own one or more Groups, you must transfer ownership or delete them first. Upon deletion, your personal data is removed in accordance with our Privacy Policy.


8. Acceptable Use

You agree not to:

  • Use the App for any unlawful purpose or in violation of any applicable law or regulation
  • Upload content that is fraudulent, infringes another person's rights, or that you do not have the right to share (including, in a Group, content involving other people without their consent where required)
  • Attempt to bypass, disable, or interfere with storage quotas, AI scan limits, subscription checks, or any other security or quota-enforcement mechanism
  • Use automated means (bots, scripts) to access the App or its backend services in a manner not authorized by us
  • Impersonate another person or misrepresent your affiliation with any person or entity, including when inviting others to a Group
  • Reverse-engineer, decompile, or attempt to extract the source code of the App, except where permitted by applicable law
  • Use the Group invitation feature to send unsolicited invitations to individuals who have not consented to receiving them

We reserve the right to suspend or terminate accounts that violate these provisions.


9. Intellectual Property

  • The App, including its design, branding, code, and content (excluding your own uploaded receipt data), is owned by Code Xcess and protected by applicable intellectual property laws.
  • You retain ownership of the receipt images, PDFs, and data you upload. By uploading content, you grant us a limited license to store, process, and display that content solely for the purpose of providing the App's functionality to you (and, for Group content, to the relevant Group members).
  • You may not copy, modify, distribute, sell, or lease any part of the App, nor reverse-engineer or attempt to extract its source code, except as permitted by law.

10. Third-Party Services

The App relies on third-party services to function, including Firebase (Google), Wasabi Cloud Storage, Amazon Web Services (for Group invitation emails), Google Play Billing, and the Apple App Store. Your use of the App is also subject to the applicable terms of these third-party providers. We are not responsible for outages, errors, or data handling practices of third-party services beyond our reasonable control, though we take reasonable steps to select reputable providers and configure them securely.


11. Disclaimers

  • The App is provided "as is" and "as available," without warranties of any kind, express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement.
  • We do not warrant that the App will be uninterrupted, error-free, or completely secure.
  • AI- and OCR-extracted receipt data may be inaccurate or incomplete. You are responsible for verifying any data before relying on it for financial, tax, accounting, or legal purposes. Receiptly is not a substitute for professional accounting, tax, or legal advice.
  • We do not warrant the accuracy of expense/income summaries or dashboards generated from your data.

12. Limitation of Liability

To the maximum extent permitted by applicable law:

  • We shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of data, loss of profits, or loss of business opportunities, arising from your use of or inability to use the App.
  • Our total aggregate liability for any claim arising from these Terms or your use of the App shall not exceed the amount you paid us for the subscription plan in the 12 months preceding the claim, or RM 50, whichever is greater.
  • Nothing in these Terms limits any liability that cannot be limited under applicable law, including liability for fraud or wilful misconduct.

13. Indemnification

You agree to indemnify and hold harmless Code Xcess, its officers, employees, and affiliates from any claims, damages, losses, or expenses (including reasonable legal fees) arising from your violation of these Terms, your misuse of the App, or your violation of any rights of a third party, including in connection with content you upload to a Group or individuals you invite to a Group.


14. Suspension and Termination

  • We may suspend or terminate your access to the App, with or without notice, if we reasonably believe you have violated these Terms, engaged in fraudulent or abusive behaviour, or if required by law.
  • You may stop using the App and delete your account at any time, subject to §6.3 and §7.4 (Group ownership obligations).
  • Upon termination, your right to use the App ceases immediately. Provisions of these Terms that by their nature should survive termination (including §9, §11, §12, and §13) will survive.

15. Changes to These Terms

We may update these Terms from time to time. We will notify you of material changes by posting the updated Terms in the App, updating the "Last Updated" date, and, where appropriate, sending a push notification. Your continued use of the App after changes take effect constitutes your acceptance of the revised Terms.


16. Governing Law and Disputes

These Terms are governed by the laws of Malaysia, without regard to its conflict of law provisions. Any dispute arising from these Terms or your use of the App shall first be attempted to be resolved informally by contacting us at the email address in §18. If unresolved, disputes shall be subject to the exclusive jurisdiction of the courts of Malaysia.


17. Severability and Entire Agreement

If any provision of these Terms is found to be unenforceable or invalid, that provision shall be limited or eliminated to the minimum extent necessary, and the remaining provisions shall remain in full force and effect. These Terms, together with our Privacy Policy, constitute the entire agreement between you and Code Xcess regarding your use of the App.
